Scope and Jurisdiction
Although DocNexus is headquartered in France, our service targets a global audience. We are committed to complying with the applicable regulatory frameworks in Europe, the United States, the United Kingdom, and Canada.
Unless otherwise required by mandatory local law, any dispute related to the use of our services is subject to French law and falls under the exclusive jurisdiction of the courts of Paris (France).

European Union and United Kingdom
We process data in accordance with the General Data Protection Regulation (GDPR) for the EU and the UK GDPR / Data Protection Act 2018 for the United Kingdom.
Users in these regions benefit from fundamental rights over their data:

- Right to erasure: The "right to be forgotten" under certain conditions.
- Right to portability: Retrieve your data in a structured format.
United States
Our policy aligns with federal and state laws, including the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA).
- No Sale of Data: DocNexus does not sell or share your personal information within the meaning of California law. The opt-out option ("Do Not Sell or Share My Personal Information") is therefore not applicable.
- Intellectual Property (DMCA): We respect the Digital Millennium Copyright Act. For any copyright infringement notification, please contact our dedicated agent at the specific address: dmca@docnexus.com.
Canada
DocNexus complies with Canadian federal and provincial frameworks, including:
- The Personal Information Protection and Electronic Documents Act (PIPEDA) at the federal level.
- Law 25 (An Act to modernize legislative provisions as regards the protection of personal information) for users in Quebec.
Canadian users have the rights of access, rectification, and withdrawal of consent, which can be exercised through our DPO contact mentioned above.
Intellectual Property
DocNexus Site Content
All elements that make up the docnexus.com site, including but not limited to texts, articles, the logo, graphics, site architecture, and source code, constitute the exclusive intellectual property of the DocNexus company.
Any reproduction, representation, or distribution, even partial, of these elements without prior written authorization from DocNexus is strictly prohibited and may constitute an act of infringement engaging the civil and criminal liability of its author.
Content Generated and Imported by Users
DocNexus makes a clear distinction between the content of its platform and that managed by its users, to ensure full transparency regarding everyone's rights.

Business Reference
The Client authorizes DocNexus to mention its name and reproduce its logo as a business reference on its website. The Client may request the removal of its logo at any time by a simple email.

Commitment to Data Use and Artificial Intelligence
The trust of our users is at the heart of our approach. That is why we wish to state our fundamental commitment with clarity:
User data, imported documents, and content generated on the platform are never used for training our artificial intelligence models, nor those of third parties.
Your content remains your exclusive property and is used strictly for the purpose of providing you with the DocNexus service.
Hosting and Strategic Data Localization
To ensure optimal security and comply with local regulations, we have adopted a geographically targeted hosting policy. Your data is stored as close to your location as possible, according to the following principles:

User Commitments
The use of DocNexus implies a series of commitments from the user, which are essential for maintaining the quality and security of the platform:
- Accuracy of Information: Each user agrees to provide truthful, accurate, and current personal and contact information upon registration and to keep it updated throughout their use of DocNexus.
- Compliance with Credit Usage Guidelines: Users must adhere to the terms of purchase, consumption, and renewal of credits as defined by DocNexus. This includes understanding that credits have a validity period and must be used within the scope of the services offered by the platform.
- Ethical Use of the Platform: DocNexus must be used in compliance with current laws and regulations, without engaging in malicious or illegal activities. This includes, but is not limited to, respecting copyright and intellectual property rights, as well as avoiding any form of fraud or abuse.
- Data Protection: Although no specific confidentiality obligation is imposed on users beyond standard online practices, DocNexus encourages special attention to the protection of personal and professional data processed on the platform. Users are invited to adopt adequate security measures to protect access to their account and generated documents.
By accepting these terms of use, users acknowledge their responsibility in maintaining the security, legality, and integrity of their use of DocNexus. Failure to comply with these commitments may result in corrective measures, including, but not limited to, the suspension or termination of the user account.
Credit Management Terms
Acquiring Credits
After the initial registration, which provides each new user with 5 pages of writing, DocNexus offers various subscription plans for acquiring additional credits, necessary for continued use of the platform.
For companies with specific needs, DocNexus offers the possibility of customized plans. These plans allow for negotiating the volume of credits and additional services directly with an account manager.
Payments can be made via credit card, direct debit, PayPal, or bank transfer, through our payment partner Stripe, ensuring a secure and reliable transaction.
Using Credits
Credits acquired on DocNexus are used to access all services and document types offered by the platform. Every action, from creating a document to using advanced features, consumes credits, which are automatically deducted upon use.
- Non-Transferability: It is important to note that credits are linked to the workspace in which they were acquired. They cannot be shared or transferred between different workspaces.
- Consumption Tracking: Users have a dashboard integrated into their account, allowing for real-time tracking of the available credit balance and their usage history. Email notifications are also sent to alert users when their credit balance reaches a critical threshold or before their expiration.
- Credit Commitment Conditions: Once an order is placed and credits are committed, no changes or cancellations are possible.
- Flexibility and Discounts: Users are encouraged to contact customer support to discuss specific needs within the scope of enterprise offers.
Expiration and Renewal
- Credit Expiration: Credits purchased via a monthly subscription plan have a validity period of 1 month + 1 month rollover. Those purchased via an annual subscription plan have a validity period of 12 months + 12 months rollover. Unused credits at their expiration are permanently lost, with no possibility of recovery or compensation.
- Credit Rollover: Rolled-over credits can only be used if a subscription is active.
Authorized and Prohibited Uses
Authorized Uses
It is imperative that users ensure they comply with the regulations in force in their country when using DocNexus. This includes, but is not limited to, respecting copyright and data privacy laws.
Authorized uses include, but are not limited to:
- Document Creation: Users are authorized to generate documents tailored to their specific needs, leveraging artificial intelligence for advanced customization.
- Editing and Collaboration: DocNexus allows for collaborative editing, enabling teams to work together on documents, thereby improving productivity and cohesion.
- Internal Sharing: Generated documents can be shared within the user's organization, facilitating communication and access to relevant information.
Prohibited Uses
The prohibited uses of DocNexus are established to preserve the integrity, security, and reputation of the platform, as well as to protect the rights and privacy of all users and third parties.
- Distribution of Illegal Content: It is strictly forbidden to publish or share copyrighted content without authorization, personal data without explicit consent, or any other material in violation of applicable laws.
- Incitement to Violence and Harassment: DocNexus condemns any form of incitement to violence and harassment. Threatening, intimidating, or any other type of harassment towards other users or third parties is formally prohibited.
- Dissemination of False Information: The publication of misleading, false, or fake information is prohibited. DocNexus aims to promote the accuracy and reliability of information shared on its platform.
- Use of Automated Scripts: The use of bots or any other automated means to generate, manipulate content, or interfere with the platform is prohibited without the explicit authorization of DocNexus.
- Compromising Security: Any attempt to compromise the security of the platform, including, but not limited to, hacking, introducing viruses or other malicious code, is strictly prohibited.
- Spam and Inappropriate Content: The distribution of spam, pornographic or sexually explicit content, as well as hate speech or discriminatory language based on race, sex, religion, sexual orientation, etc., is formally prohibited.
DocNexus reserves the right to take all necessary measures in case of violation of these prohibitions, to protect its community and services. Users are encouraged to report any suspicious activity or content that violates these principles.
Consequences of Violations
Temporary Account Suspension
As part of managing violations of the terms of use, DocNexus applies a strict policy aimed at maintaining the security and integrity of its platform. Temporary account suspension is a corrective measure for cases of non-compliance with user commitments.
Criteria leading to a temporary suspension include, but are not limited to, repeated violations of authorized uses, such as distributing copyrighted content without permission, engaging in illegal activities, or practicing intimidation and harassment towards other users. Excessive use non-compliant with the subscribed plan, manifested by a credit consumption far exceeding the planned amount without making the necessary payments, as well as attempts to compromise the platform's security, including hacking and sending viruses, are also likely to lead to a suspension.
The suspension process is immediate and without prior warning for serious offenses, with a suspension period set at 30 days. To restore their account, users must contact customer support and cooperate in resolving the issues that led to the suspension.
Immediately after the suspension, the affected user receives a notification on the platform and an email detailing the reasons for the suspension. This message also contains precise instructions on how to contact support to begin the resolution process and potentially regain access to the account.
Conflict Resolution
In managing violations of the terms of use, DocNexus implements a structured conflict resolution process, aimed at fairly and effectively resolving disputes that may arise between DocNexus and its users. This process is designed to ensure that all parties have an opportunity to present their case and reach an amicable solution.
- Initial Contact: The process begins with an initial contact from the user via a dedicated form on the DocNexus website. This ensures that all necessary information is collected in a structured manner for an accurate assessment of the conflict.
- Internal Assessment: Once the form is received, a dedicated team at DocNexus conducts an internal assessment of the conflict. This step aims to understand the circumstances that led to the situation, based on the information provided by the user and the data available on the platform.
- Mediation: If necessary, and depending on the nature of the conflict, mediation is proposed to find an amicable resolution. DocNexus may call upon third parties or external experts to serve as neutral mediators or provide specific technical expertise, solely at the request of either party involved.
- Resolution: The goal of mediation is to reach a solution satisfactory to all parties. If an amicable resolution is found, the terms of the agreement are documented, and the necessary measures are taken to implement the agreed-upon solution.
- Appropriate Measures: In case of mediation failure, or if the nature of the conflict justifies it, DocNexus reserves the right to take appropriate measures according to the terms of use. This may include, but is not limited to, the suspension or termination of the user's account.
DocNexus is committed to handling all conflicts with the utmost care and attention, respecting the principles of fairness and transparency. Users are encouraged to contact DocNexus customer support for any questions or concerns regarding the conflict resolution process.
Limitations of Liability
DocNexus is committed to providing a quality platform aimed at optimizing the creation of professional documents through artificial intelligence. However, certain limitations of liability should be noted:
- DocNexus shall not be held liable for data loss resulting from service interruptions due to circumstances beyond its control, such as server failures at hosting providers or natural disasters.
- DocNexus's liability is excluded in cases of errors or inaccuracies in the generated documents when these errors stem directly from the information provided by the user or from the automated interpretation by the artificial intelligence.
- DocNexus cannot be held responsible for delays in service delivery or the temporary unavailability of the platform for maintenance or updates, although we strive to minimize these inconveniences.
- In the event of a claim related to liability attributed to DocNexus, the user is invited to contact customer service first. If no satisfactory solution is found, the claim may be escalated to DocNexus's legal support within 30 days of discovering the issue.
